Client Agreement — Terms & Conditions

Please read this agreement carefully before signing. It sets out the terms under which services are provided, your rights, and how your personal information is handled. If you have any questions about anything contained here, please ask before signing.

1. Nature of the Service

I acknowledge that Juliette Adair is a life coach, educator, NLP facilitator, and certified hypnotherapist. She is not a medical doctor, psychologist, or mental health professional. The services she provides do not include:

• Diagnosing physical or mental health conditions
• Prescribing or recommending medication
• Treating, managing, or advising on medical or psychiatric conditions
• Providing therapy or counselling in a clinical sense

The insights, tools, and techniques offered through coaching and hypnotherapy are not a cure, treatment, or remedy for any specific medical condition, and are not a substitute for professional medical or psychological care.

I understand that I am advised to continue any existing medical treatment and to consult my doctor regarding any new or existing health concern. If I am currently under the care of a mental health professional, I accept responsibility for informing them that I am also working with a coach and hypnotherapist.

2. Suitability and Responsibility for Safety

By signing this agreement, I confirm that I am engaging with these services of my own free will and that I am in a suitable state of health to do so. I understand that certain conditions may mean hypnotherapy is not appropriate, and that Juliette Adair reserves the right to decline or discontinue services if she believes it is not in my best interest or the interest of my safety.

My safety during sessions is my own responsibility. If I am unsure whether the services are appropriate for me given my health or personal circumstances, I agree to seek medical advice before beginning.

3. Appointments and Preparation

I understand and agree that I will attend sessions having completed any preparation requested in advance. This may include:

• Completing intake forms or questionnaires
• Downloading Zoom or another agreed platform for online sessions
• Arriving on time for sessions, whether online or in person
• Providing myself with a calm, quiet, and safe environment for online sessions

If I fail to fulfil reasonable preparation requirements, or if I arrive (in person or online) in a state that makes it unsafe or impractical to proceed, Juliette Adair reserves the right to decline to conduct the session. In such cases, the session fee will remain payable in full.

4. Cancellation and Late Changes

If I need to cancel or reschedule an appointment, I must notify Juliette Adair in writing — by email or text message — at least 5 days before the scheduled start time. Cancellations or changes made with less than 5 days' notice will be charged at the full session rate. This policy exists to respect Juliette Adair's time and to ensure her availability for other clients.

In exceptional circumstances (such as a medical emergency), Juliette Adair will consider whether to apply this policy at her discretion.

5. Fees and Payment

I agree to pay for sessions either in advance or within 48 hours of the session, at the rate agreed at the time of booking. Payment details are as follows:

If payment is not received within the agreed timeframe, Juliette Adair reserves the right to withhold further sessions until the outstanding balance is settled.

6. Confidentiality

Everything I share within sessions is treated with the utmost discretion. Juliette Adair will not disclose any personal information about me to any third party without my written consent, except in the following limited circumstances:

• If information shared leads her to believe that I, or someone else, may be at serious risk of harm — including risk to my own life — she has a professional and moral duty to take appropriate action. This may include contacting emergency services.
• If information disclosed suggests that a serious crime has been committed or is being planned, she may be required or compelled to report this to the appropriate authorities.
• If required by the police or courts to surrender session notes for any reason.

In any of the above situations, Juliette Adair will, wherever possible and safe to do so, discuss this with me first before taking action. These exceptions are in place to protect both my safety and that of others, and are standard practice across all helping professions.

7. Your Personal Data and GDPR

I understand that Juliette Adair collects and holds personal information about me in order to provide her services. This is done in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What data is held:

• My name, contact details, and relevant personal background as shared during sessions or intake
• Notes made during or after sessions relating to my progress and wellbeing

How it is stored:

• Session notes are recorded by hand and stored in a locked filing cabinet at Juliette Adair's home office
• Any digital communication (such as email or text) is kept on password-protected devices

How long it is kept:

• Records will be retained for a minimum of 5 years following the end of our working relationship, in line with professional best practice, after which they will be securely destroyed

My rights:

• I have the right to request access to the personal data held about me
• I have the right to request correction of inaccurate data
• I have the right to request deletion of my data, subject to any legal or professional obligations Juliette Adair must meet
• I can exercise these rights at any time by contacting her directly in writing

Juliette Adair will not share my personal data with any third party without my explicit consent, except where legally required to do so. A full Privacy Notice is available on her website.

8. Online Sessions

For sessions conducted online, I accept that I am responsible for ensuring a safe, private, and uninterrupted environment. I understand that Juliette Adair cannot be held responsible for technical failures on my end, and that if a session cannot take place due to my own connectivity or equipment issues, the session fee will still apply unless she agrees otherwise.

9. Results and Personal Responsibility

I understand and agree that my progress and the results I experience from working with Juliette Adair depend substantially on my own effort, commitment, and engagement between sessions. Her role is to guide, support, and facilitate — she cannot guarantee specific outcomes.

I agree to take responsibility for implementing any changes, practices, or insights arising from our work together. I understand that growth often takes time and that results will vary between individuals.

10. Termination of Services

Either party may choose to end the working relationship at any time. If I wish to end our work together, I agree to give Juliette Adair reasonable notice. She may also choose to bring the arrangement to an end — for example, if she believes the sessions are not in my best interest, or if the terms of this agreement are repeatedly not met. In such cases, she will communicate her decision to me with care and, where possible, suggest alternative sources of support.

11. Intellectual Property

All materials shared by Juliette Adair during or in connection with our sessions remain her intellectual property at all times. This includes, but is not limited to, written resources, frameworks, exercises, scripts, worksheets, guided visualisations, and any audio recordings provided to me.

I agree to use any such materials for my own personal development only and not to reproduce, share, adapt, publish, or pass them on to any third party in any format, whether for commercial gain or otherwise.

12. Recording of Sessions

Sessions may not be recorded — by audio, video, or any other means — without the explicit prior written consent of Juliette Adair. If consent is given for a recording to be made (for example, a personalised hypnosis audio to support my work between sessions), I agree that:

• The recording is for my personal use only and will not be shared with others
• I will not upload, distribute, or publish the recording in any form
• The recording remains the intellectual property of Juliette Adair and she retains the right to withdraw permission for its use at any time

Any recording made without consent is a breach of this agreement and may result in the immediate termination of services.

13. Communication Between Sessions

I understand that Juliette Adair operates clear boundaries around communication outside of scheduled sessions, and I agree to respect these.

For any matter other than booking, rescheduling, or cancelling appointments, the preferred method of contact is email. I understand that Juliette Adair may not respond to phone calls or text messages outside of session-related logistics, and that she is not obliged to do so.

I agree not to contact Juliette Adair by phone or text to discuss session content, seek guidance, or process personal material between sessions. These conversations belong within the session space, where she can give them her full and undivided attention.

I understand that response times to emails may vary, and that she aims to respond within 2 working days.

14. Social Contact and Professional Boundaries

I understand that Juliette Adair and I may occasionally encounter one another socially, particularly given that sessions may take place in or near her local community. In such circumstances, I agree to respect her professional boundaries.

Unless we have specifically and mutually agreed otherwise, I understand that:

• Our relationship is a professional one and does not extend to personal friendship
• If we meet socially, Juliette Adair may choose not to engage in conversation beyond a brief, courteous acknowledgement, and I will not take this personally or as a slight
• I will not initiate personal discussion, reference our sessions, or seek to engage with her in an informal capacity in public or social settings

These boundaries exist to protect the integrity of our professional relationship and the confidentiality of both parties. Juliette Adair handles all such situations with the same discretion she brings to the sessions themselves.

15. This Is Not an Emergency Service

I understand that coaching and hypnotherapy sessions are scheduled appointments and that Juliette Adair is not available as an emergency or crisis resource. Her services are not designed to provide urgent support in moments of acute distress.

If I am experiencing a mental health crisis, feel at risk of harming myself or others, or am in urgent need of support, I agree to contact one of the following:

• Emergency services: 999
• NHS urgent mental health support: 111 (option 2)
• Samaritans: 116 123 (free, 24 hours)
• My GP or local crisis team

By signing this agreement, I confirm that I understand the nature and limitations of the service, and that I take responsibility for seeking appropriate urgent help when needed.

16. Complaints

If I have any concerns about the service I receive, I am encouraged to raise them directly with Juliette Adair in the first instance. She takes all feedback seriously and will seek to resolve any concerns promptly and professionally. If I feel a concern cannot be resolved directly, I may raise the matter with the relevant professional body. Details of Juliette Adair's professional memberships are available on request.

Declaration

By signing below, I confirm that:

• I have read and understood this agreement in full
• I have had the opportunity to ask questions before signing
• I agree to the terms set out above
• I am aged 18 or over (or, if under 18, a parent or guardian has countersigned)

A copy of this signed agreement will be provided to you for your records.
